Desk Setup Guide

A pragmatic guide to arranging your everyday workstation.

Use this guide as a checklist when you sit down at your desk this week. Most items take only a few minutes to verify.

Section 1

Monitor placement

Position the screen so the top edge sits at or slightly below eye level when you are seated naturally. Distance roughly equal to an outstretched arm is a useful starting point. Tilt the screen back by a few degrees to match your natural line of sight.

Height

Use a stable riser or stack of sturdy books if your monitor sits too low. Avoid balancing on uneven surfaces.

Distance

If you find yourself leaning forward, move the screen 2–4 inches closer rather than changing your posture.

Section 2

Seating & posture

Adjust the seat height first, then the backrest. Your feet should rest flat on the floor, with knees roughly level with hips. The lumbar curve of the backrest should meet the natural inward curve of your lower back.

  • Sit fully back in the seat, not on the front edge.
  • Lower the armrests until your shoulders fully relax.
  • If your feet dangle, add a footrest or lower the seat.

Keyboard & mouse

Keep the keyboard centered in front of you, with the mouse on the same plane and within easy reach. Wrists should hover slightly above the surface rather than rest on a hard edge while typing.

Edge clearance

Leave space between the keyboard and the desk edge so wrists can stay neutral.

Place the mouse at the same height as the keyboard to avoid raising the shoulder.

The B key should align with the center of your sternum for most layouts.

Section 4

Lighting & glare

Place the screen perpendicular to windows where possible to avoid both direct glare and sharp backlight. Combine soft ambient light with a focused task lamp for documents or notebooks.

  • Match screen brightness to the brightness of the wall behind it.
  • Use warmer tones in the evening to reduce visual fatigue.
  • Avoid placing a bright lamp directly behind the screen.

Cable & surface order

A cluttered surface forces awkward reaches and small posture compromises. Group cables underneath the desk with simple clips, and keep the front 8 inches of the desk clear so your forearms have room.

Section 6

Daily routine

Even a perfect setup benefits from regular movement. Stand up briefly every 45–60 minutes, look at something at least 20 feet away, and stretch the shoulders for a moment before sitting back down. Updated recently.
